Ely Archers (“We”, “Us” and “Our”) take the privacy rights of users of the ElyArchers.org.uk website (“Website”) seriously.

This privacy policy explains to you how certain information about you may be processed. By using the Ely Archers website, you expressly consent to the use of Your Data in accordance with this privacy policy.

We do not sell, rent or trade information about you. We follow the rules of the UK Data Protection Act 1998 which includes strict security procedures to ensure that stored information is not accessible by unauthorized persons.

We try to keep our website secure by using an SSL Certificate (https://). However we ask you to recognise that when providing your information to us through our website or when you send us or ask us to send you any of your confidential information by email, that the internet and email communications over the internet may not be secure. We cannot be responsible for any loss or unauthorised interception of information transmitted via the internet which is beyond our control.

Our website may contain links to other external websites. Our privacy policy only applies to our website. We are not responsible for the content, privacy or security of other websites.

We may collect data about which pages you visit on the Ely Archers website and when and aggregate statistics about the number of visitors to our site or number of purchases (competitions, memberships) made on the site. This data is only analysed by ourselves.

We will use your information which we receive from you for a variety of purposes, including:

Training and Competition entry

  • Share data with club coaches or officials to administer training sessions
  • Share data with club committee members to enter events
  • Share data with facility providers to manage access to the field and tournament entries
  • Share data with leagues, county associations (and county schools’ associations) and other competition providers for entry to events

Funding and Reporting purposes

  • Anonymised data shared with a funding partner as condition of grant funding e.g. Local Authority
  • Anonymised data analysed to monitor club trends

Membership and club management

  • Processing of membership forms and payments
  • Share data with committee members to provide information about club activities, membership renewals or invitation to social events
  • Publishing of competition results
  • Website management

Marketing and communications (where separate consent is provided)

  • Sending information about promotions and offers from sponsors
  • Sending a club newsletter
  • Sending information about selling club kit, merchandising or fundraising

Archery scoring software (where separate consent is provided)

We will store your archery scores in order to provide members with handicaps, certificates, prizes and badges in our “Golden Records” scoring software.

The data stored includes: Name, age category, gender, bow type(s), date of birth (if under 18), place shot and scores –  no other personal details are stored.

This data is then made public on our website here – https://www.elyarchers.org.uk/club-archers/ , so that you can track your results and other club members results.

Providing information to us.

You are responsible for informing us of any change in your details, such as a change of address. You have a right to ask us to correct any inaccuracies in the information we hold about you.
You have a right to ask what information we hold about you.

If you are under 16 please do not provide us with any personal information unless you have the permission of your parent or guardian to do so.

Personal data will be stored in a secure location which is restricted to relevant committee members only and will be deleted one year from termination or resignation of membership.

Archery GB

When you become a member of or renew your membership with Ely Archers you will automatically be registered as a member of Archery GB and the relevant County and Region (SCAS); Cambridgeshire Archery Association (CAA). We will provide Archery GB with your personal data which they will use to enable access to an online portal for you (http://agb.sport80.com) which, amongst other things, allows you to set and amend your privacy settings.
